Terms of service

By accessing or using CatalystOS ("the Service"), operated by CatalystOS Pty Ltd (ACN 692 605 155, ABN 64 692 605 155) ("we", "us", "our"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

The Service is designed for professional coaches, consultants, and practitioners who wish to manage their coaching practice using AI-assisted tools.

CatalystOS is a SaaS platform that provides:

• AI-powered coaching practice management via Kai, your strategic AI partner, backed by 30 specialised AI agents
• Client relationship management and session tracking
• Smart Canvas — an AI-first navigation layer that surfaces the right information at the right time
• Knowledge capture and organisation using the PARA method
• Invoicing and payment processing via Stripe
• Proactive intelligence: Morning Briefings, End-of-Day Summaries, At-Risk Client Monitoring, Smart Actions, and session reminders
• ICF Core Competency alignment, session scoring, and accreditation evidence tracking
• Session preparation, live transcription, and post-session analysis tools

• You must be at least 18 years old to use the Service.
• You must provide accurate and complete registration information.
• You are responsible for maintaining the security of your account credentials.
• You are responsible for all activity that occurs under your account.
• One person or entity may not maintain more than one active account.
• You must notify us immediately of any unauthorised use of your account.

• All new accounts receive a 14-day free trial with full access to your chosen tier.
• A payment method is collected at signup; no charge is made during the trial period.
• After the trial, your subscription will automatically renew at the applicable rate unless cancelled.
• Payments are processed securely via Stripe. We do not store your payment card details.
• Prices are quoted in US Dollars (USD) by default. Australian coaches are billed in Australian Dollars (AUD) at the same headline amounts; billing currency is determined at signup by the country on your Stripe Connect account.
• GST is included in the stated prices for Australian customers.

• You may cancel your subscription at any time from your account settings.
• Cancellation takes effect at the end of your current billing period.
• You will retain access to the Service until the end of your paid period.
• If you cancel during your 14-day trial, you will not be charged.
• Refund requests made within 14 days of a paid billing cycle may be considered on a case-by-case basis. Contact support@catalystos.coach.
• This policy is provided in addition to your rights under the Australian Consumer Law.

You own your data. All content you create, upload, or generate through the Service — including session notes, client information, knowledge items, frameworks, and coaching methodologies — remains your intellectual property.

• We do not claim ownership of your content.
• You grant us a limited licence to process your data solely for the purpose of providing the Service.
• You may export your data at any time using the data export feature.
• Upon account deletion, your data will be permanently removed within 30 days, except where retention is required by law (e.g., financial records retained for 7 years under Australian tax law).

By using the Service, you acknowledge:

• AI-generated suggestions, insights, and content are advisory only and should not replace professional judgement.
• You are responsible for reviewing and verifying any AI-generated output before acting on it or sharing it with clients.
• We do not use your private coaching data to train public AI models.
• AI features may occasionally produce inaccurate or incomplete information.

You agree not to:

• Use the Service for any unlawful purpose or in violation of professional coaching ethics.
• Attempt to gain unauthorised access to the Service or its related systems.
• Interfere with or disrupt the integrity or performance of the Service.
• Upload malicious code, viruses, or harmful data.
• Resell, sublicence, or redistribute access to the Service without our written consent.
• Use the Service to store or process data that violates client confidentiality obligations.

As a coaching professional using CatalystOS, you are the data controller for any client data you enter into the Service. You are responsible for:

• Obtaining appropriate consent from your clients before storing their information.
• Complying with applicable privacy laws in your jurisdiction.
• Ensuring client data is accurate and up to date.
• Honouring any data deletion requests from your clients.

To the maximum extent permitted by law, CatalystOS Pty Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses.

Our total liability for any claim arising out of or relating to these Terms or the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under Australian Consumer Law.

We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may perform scheduled maintenance with reasonable notice. We are not liable for any downtime or service interruptions beyond our reasonable control.

We may update these Terms from time to time. We will notify you of material changes via email or an in-app notification at least 30 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.

These Terms are governed by and construed in accordance with the laws of New South Wales, Australia. Any disputes shall be subject to the exclusive jurisdiction of the courts of New South Wales. CatalystOS Pty Ltd is registered at 10/387 George Street, Sydney NSW 2000.
